                                                                October 8, 2008 Board Meeting Minutes

 

The regular meeting of the Board of Directors of Lake Iroquois Association was convened at the Clubhouse on October 8, 2008 at 7:05 p.m.  Present were:  Phil Iverson, presiding officer, Steve Garbaciak, Carol Hildenbrand, Ramon Martinez, Sandi Ostrowski, Tracy Rodriquez and Bill Willis.  Mark Webster and 9 guests were also present.

 

The Board opened the meeting with the reciting of the Pledge of Allegiance.

 

A motion was made by Garbaciak, seconded by Hildenbrand, to approve the September Board meeting minutes.  Motion carried.

 

CORRESPONDENCES

           -           Hildenbrand read a letter from the Bylaws Committee advising that they have dissolved the committee.  The

                         Board recognized the magnitude of the project and thanked the Committee for the work they did on the

                         Bylaws.  

            -          Martinez brought up discussion of a letter he received about manholes which need work on LIA property. 

                        Garbaciak will cover the letter in the Water/Wastewater report.

 

COMMITTEE REPORTS

 

RECREATION ý Ostrowski

-          No report

 

BUILDING & ROADS ý (Willis)

            The following building permits were issued:

            -          Lot 37A ý Mike Flessner - dock

            -          Lot 106A ý Carl Larrson - dock

            -          Lot 119A ý Phyllis Brines - ditch tile

                                                                       

A motion was made by Martinez, seconded by Garbaciak to accept the Road and Buildings Report. Motion carried.

           

WATER-WASTEWATER ý Garbaciak

-           1,633,410 gallons of water were pumped in September.  This was 304,230 gallons less than last month and 126,960

             gallons more than last year. 

-           Normal maintenance was performed on our water/waste water plants.

-           The air pump motor for wastewater that was sent out for repair was found to be shorted out and was more costly to

             repair than to replace.  A new motor was purchased and should be installed and running as of this meeting.

-          Garbaciak read the September 25, 2008 letter which was sent from Mark Webster to LIA members who had

             manholes which need to be repaired.  The letter is available for review at the LIA office.

-          Water restrictions have been lifted.

 

Willis made a motion, seconded by Ostrowski to accept the Water-Wastewater report. Motion carried. 

 

MEMBERSHIP ý Rodriquez

            -          Gary and Stefanie Cornelius, Lot 501B, 118 Mohawk Drive (house)

 

A motion was made by Hildenbrand, seconded by Ostrowski to accept the Membership report.  Motion carried.

 

SECURITY ý Martinez

                       -           Total security hours worked in September - 21

                       -           Verbal warnings given ý No Wake Violationsý 2

                       -           Written warnings given ý Illegal Dumping ý 1

                       -           Trespassing by Non-LIA member ý 1

                       -           General Complaint - 1

 

Willis made a motion, seconded by Garbaciak to accept the Security report.  Motion carried. 

 

 FINANCE - Hildenbrand

           -           September 2008 bills totaled $33,306.88. Hildenbrand made a motion, seconded by Martinez to pay

                         September bills (payable in October) of $33,306.88. Motion carried.

           -           Hildenbrand advised that she and Iverson met with Mitch Nuss of Insurance Providers concerning updating

                         our insurance policy.  Certificates of Insurance will be required from all contractors working for LIA.  LIA

                         will also be requiring that anyone who does digging at LIA use a trench box (LIAýs or their own) for safety

                         and insurance purposes.

            -          We have had no response from a couple of our delinquent accounts.  The information will be forwarded to

                         our attorney.

            -          Hildenbrand expressed concern over the money LIA has had to spend so far this budget year for repairs. 

                        Areas where spending has exceeded expections or the budgeted amounts include:  windows for the

                        clubhouse, dredging, fuel, speed bumps, water repairs, wastewater repairs, pool, engineering fees and summer

                        hires.  Willis brought up discussion of some of the major repairs and maintenance which still need to be done

                        and requested a fund balances report for the November meeting.  Rodriquez also requested that Year-to-

                        Date financials be prepared for the November meeting so that the issue can be discussed in greater detail. 

Martinez made a motion, seconded by Garbaciak to accept the Finance report.  Motion carried. 

 

FACILITIES ENGINEER (Webster)

 

           -           Storm tile at the marina collapsed and was replaced.

           -           Flooding problems were addressed.

           -           Winterizing projects were worked on.

           -           Drains at pool shower house were obstructed and thus jetted and flushed. One of the drains needs further

                        work.

            -          Sewer repairs were done at several locations.

 

Willis made a motion, seconded by Martinez to accept the Facility Engineerýs report. Motion carried. 

 

 

AD HOC COMMITTEES

 

            -          None

 

 

OLD BUSINESS

            -          none   

 

NEW BUSINESS

            -          Halloween Trick or Treating hours on Lake Iroquois are set for October 31, 2008 from 5-8 pm.

 

QUESTIONS FROM THE MEMBERSHIP

 

           -           Sybil Kellogg asked about putting a reminder at the front entrance advising of the 9:00 am ý 1:00 pm hours

                         for the clean-up dumpster on Saturday, October 11, 2008.

 

            -          Bill Miller asked about a manhole which was left uncovered.  The Board advised that LIA had not been the

                         one to uncover it, but the issue would be addressed.

 

            -          Norma Matson asked about the progress of alarm systems for the lift stations.  Garbaciak advised that he is

                         investigating the matter as is Webster.

 

A motion was made by Willis, seconded byGarbaciak to adjourn the meeting at 8:00 pm. Motion carried.
